Terms and conditions for booking your safari with SunSpear Safaris

1. Booking & Confirmation

1.1 Making a Booking

To secure your safari booking, we require:

  • A completed booking form with all traveler details
  • A non-refundable deposit of 30% of the total tour cost
  • Copy of valid passport (must be valid for at least 6 months beyond travel date)

1.2 Confirmation

Your booking is confirmed once we receive your deposit and send you a written confirmation. Please review all details carefully and notify us of any discrepancies within 7 days.

1.3 Balance Payment

The remaining balance (70%) is due 60 days before departure. For bookings made within 60 days of departure, full payment is required at the time of booking.

2. Pricing & Inclusions

2.1 What’s Included

Unless otherwise stated, our safari packages include:

  • Accommodation as specified in the itinerary
  • Meals as specified (B=Breakfast, L=Lunch, D=Dinner)
  • Transportation in 4×4 safari vehicles
  • Professional English-speaking guide
  • Park entrance fees and conservancy fees
  • Bottled water during game drives
  • Airport transfers on arrival and departure days

2.2 What’s Not Included

  • International and domestic flights
  • Visa fees
  • Travel insurance (mandatory)
  • Tips and gratuities
  • Personal expenses (laundry, phone calls, etc.)
  • Optional activities not in the itinerary
  • Alcoholic beverages

2.3 Price Adjustments

Quoted prices are based on current rates and may be subject to change due to currency fluctuations, fuel surcharges, or increases in park fees. Any changes will be communicated before final payment.

3. Cancellation Policy

3.1 Cancellation by Client

All cancellations must be made in writing. The following charges apply:

  • More than 60 days before departure: Deposit forfeited
  • 45-60 days before departure: 50% of total cost
  • 30-44 days before departure: 75% of total cost
  • Less than 30 days before departure: 100% of total cost

3.2 Cancellation by SunSpear Safaris

We reserve the right to cancel a trip due to circumstances beyond our control (force majeure), insufficient bookings, or safety concerns. In such cases, you will receive a full refund or the option to reschedule.

4. Changes & Amendments

4.1 Changes by Client

Requests for changes to confirmed bookings are subject to availability and may incur additional charges. Changes requested within 30 days of departure may be treated as a cancellation and rebooking.

4.2 Changes by SunSpear Safaris

We reserve the right to make minor changes to itineraries. Significant changes will be communicated promptly, and you will have the option to accept the change, take an alternative, or receive a refund.

5. Travel Insurance

Comprehensive travel insurance is mandatory for all clients. Your policy must cover:

  • Emergency medical expenses and evacuation
  • Trip cancellation and interruption
  • Personal liability
  • Loss of baggage and personal effects

Proof of insurance must be provided before departure. We recommend purchasing insurance at the time of booking.

6. Liability

SunSpear Safaris acts as an agent for hotels, lodges, airlines, and other service providers. We are not liable for any injury, damage, loss, delay, or irregularity caused by:

  • Acts of nature (weather, natural disasters)
  • War, civil unrest, or terrorism
  • Government actions or restrictions
  • Third-party service providers
  • Client’s own negligence or failure to follow instructions

7. Complaints

If you have concerns during your safari, please inform your guide immediately so we can address them. Written complaints must be submitted within 28 days of the trip’s end.

8. Governing Law

These terms are governed by the laws of Kenya. Any disputes shall be resolved through arbitration in Nairobi.
